Privacy Policy

We collect the following categories of personal data:

• Account data — name, email address, phone number, password (hashed), profile photo, postcode and role (Customer, Host or Waste Carrier).
• Verification data — for Waste Carriers: company name, Environment Agency Waste Carrier Licence number, insurance documents.
• Listing & job data — photos of waste, bin descriptions, locations (postcode + approximate coordinates), bids, messages between users, ratings and reviews.
• Payment data — processed by our payment provider; we receive limited information (the last four digits of the card, payout reference, payout status). We do not store full card numbers.
• Device & usage data — IP address, browser type, device identifiers, pages visited, referring URL, app interactions, crash logs.
• Communications — emails you send us, support tickets, marketing-preference choices.

We use personal data to:

• create and operate your account and the Service;
• match Customers with Waste Carriers and other Customers, process bids and bookings;
• process payments and manual payouts;
• verify Waste Carriers against the UK Environment Agency public register;
• improve the Service, debug, and prevent fraud or illegal disposal;
• send essential service emails and, with your consent, marketing updates about Binshare's features and new locations;
• comply with our legal obligations.

We rely on one or more of the following UK GDPR lawful bases:

• Contract — to deliver the Service you have signed up to.
• Legitimate interests — for security, fraud prevention, analytics and service improvement.
• Consent — for marketing emails and non-essential cookies. You can withdraw consent at any time.
• Legal obligation — for tax records and reporting illegal waste activity to UK regulators.

We share personal data only as needed to run Binshare. We do not sell personal data. Recipients can include:

• Other users — for example, when you book a Job we share your first name, message thread and the relevant postcode area with the Waste Carrier; when you list a bin, your postcode and listing details are visible to nearby Customers.
• Service providers — hosting, database, email delivery, payment processing, error monitoring. These providers act as our data processors under written agreements.
• UK regulators & law enforcement — where we are required to disclose, or to report suspected illegal waste activity (Environment Agency, councils, police).
• Professional advisers — lawyers, accountants and auditors, under confidentiality obligations.

Binshare's primary infrastructure is hosted in the United Kingdom and the European Union. Where personal data is transferred outside the UK (for example to a US-based email provider), we rely on UK GDPR-recognised safeguards such as the UK International Data Transfer Agreement, the EU Standard Contractual Clauses with UK Addendum, or adequacy decisions.

We keep personal data only as long as necessary for the purposes set out above. Indicative retention periods:

• Account data: while your account is active, then 24 months.
• Job & payout records: 6 years (UK tax-record retention).
• Duty-of-care waste-transfer records: at least 2 years (legal requirement).
• Support emails: up to 24 months after resolution.
• Server logs & backups: typically up to 90 days, then deleted or anonymised.

You have the right to:

• access a copy of your personal data;
• correct inaccurate data;
• request erasure (where it doesn't conflict with our legal duties);
• restrict or object to processing;
• data portability for data you have provided;
• withdraw consent at any time;
• complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.

We use industry-standard technical and organisational measures — TLS-encrypted connections, hashed passwords, access controls and regular backups — to protect personal data. No system is perfectly secure: notify us immediately at support@binshare.co.uk if you suspect an incident affecting your account.

Binshare is not intended for children under 18 and we do not knowingly collect data about them. If you believe a child has provided data, please contact us so we can delete it.

We may update this Privacy Policy from time to time. We will notify you of material changes by email or in-app and update the "Last updated" date above. Continued use of the Service after the effective date constitutes acceptance of the updated policy.
